Data Upload Quick Reference Guide



The Three Phases of Data Inspection 

Once you upload a data file to ACA Track, it goes through a 3-stage inspection process before your final data can be uploaded to our system. It’s critical to correct any errors detected and reupload your file until it uploads successfully. 

Stage 1 – File Format Inspection 

Your file is reviewed to make sure it is in the correct Excel format, contains no viruses, and contains all the required column headers. This test usually takes only 1-2 minutes.  

If this test fails, you will be notified immediately with a list of errors that must be corrected. You can also view the error list from the Data Upload History Screen, by clicking the eye icon. These simple errors are displayed on-screen only, there is no downloadable error report: 

 

Once you’ve corrected your data file, return to the History screen and click the resume icon: 

 

When your data passes Stage 1 it will automatically proceed directly to Stage 2. 

Stage 2 – Data Validation 

In this test, your data is checked for proper formatting, missing required fields, unrecognized codes (such as Job Status codes). This test may take several minutes, and you can stay on the test screen or return to the Data Upload History screen later to see your results.  You will receive email notification when it completes. 

If the test fails, you will see a red Validation Error Report icon on your Data Upload History screen: 

 

Use this downloadable error report to correct the issues with your original file, and then reupload the entire updated data file by clicking the resume icon .   

When your data passes Stage 2 it will automatically proceed directly to Stage 3. 

Stage 3 – Data Integrity 

In this test, each row of data is reviewed for consistency and any potential conflicts between fields. This test can take up to an hour to run (based on file size), so you will be emailed once it is finished. 

If errors are detected, you will find 2 lines of results on your Data Upload History screen. The first line indicates the number of employees that passed inspection and were successfully uploaded, while the second line provides a report for those employee records with errors. To view the report, click the yellow Integrity Error Report icon: 

 

YOU ARE NOT FINISHED YET! 

Only the successful employee records have been uploaded to ACA Track. In order to upload the rest, use the resume  icon to restart the sub-batch.  Attach your updated (corrected) data file. 

Important! 

Do Not create a new batch to make corrections. To correct a previously uploaded batch, use the

New batches should only be started when you are uploading a brand new datasheet for a new month, or for a new subset of employees that was not previously included in your data.  For example, you may need to upload a new batch if your New Jersey employees are being loaded in a separate file from your Pennsylvania employees, etc. 

Final Note:  When you have successfully completed batch upload you should not see any yellow  or red error report icons on your screen.
